Before you land on a number, it helps to understand what moves the price up or down. There are five main factors. Once you know them, the quotes you get will make a lot more sense.
Tent Size and How Many Guests You’re Hosting
This one’s straightforward. Bigger tent, bigger price. The math that most planners use is roughly 10 square feet per seated guest. So a party of 60 seated guests with a head table needs somewhere around 600 square feet of tent coverage.
Don’t just count seated guests, though. If you want a dance floor, a bar setup, a DJ booth, or a buffet table inside the tent, you’ll need to factor in that square footage too. We can help you work through the right size during a quote conversation.
Tent Style: Frame vs Pole vs Pop-Up
The three main tent styles have very different price points and very different use cases. Here’s how they compare:

Frame tents have no center poles means nothing in the way of your layout, unless we set up a composite frame tent where two tents are joined together to make a larger tent. Pole tents have that beautiful high-peak look that’s become the classic for outdoor weddings. Pop-ups are the practical choice for quick shade or a vendor setup.
Season, Weekend vs Weekday, and How Far Ahead You Book
Summer weekends in the GTA book fast. If you’re planning an outdoor event between June and September on a Saturday or Sunday, book early. Availability is real. Prices can reflect peak demand, and more importantly, your preferred size may not be available if you wait too long.
Weekday and off-season events typically have more flexibility. If your schedule allows it, a Friday or early September date can make a difference.

The Surface You’re Setting Up On
Frame tents can go on grass, concrete, asphalt, or packed gravel. Pole tents need grass with enough ground depth for stake or if you need to set up on asphalt then we will need permission to drill and stake. We do refill the drilled holes after takedown.

Frame tents are our most popular category for backyard parties, corporate events, and outdoor receptions. They work on almost any surface, they don’t require center poles, and they’re available in a wide range of sizes.

- 10×20 Frame Tent: $295. Good for 20 to 30 guests, patio-style coverage, or a single vendor display.
- 15×15 Frame Tent: $325. A square footprint that works well for backyard birthday parties, baby showers, or a dessert and gift table setup.

- 30×45 Pole Tent: $1,250. This is the one for large weddings and corporate event rentals in the 100 to 120+ guest range. Add a dance floor, a head table, a full buffet setup.

The tent is just the beginning. Here’s where a lot of budgets get surprised. We’d rather you know upfront.
Tables and Chairs
Our table rentals run from $9.75 for a 4-foot table to $11.75 for an 8-foot banquet table. For a 60-person event, you might need 8 to 10 tables. That’s a line item worth including.
Chair rentals have a bigger range depending on style. Basic folding chairs start at $1.65 each. Chiavari chairs, which are the go-to for weddings and upscale events, run $6.95 each. Both are great options depending on your vibe and budget.
Linens, Tableware, and Glassware
Tablecloths, napkins, dinner plates, glassware, and serving platters can all be rented through us. Prices vary by item and quantity. Get a quote with your full guest count and we’ll itemize it.
Lighting, Heating, and Sidewalls
String lights and perimeter lighting make a big difference after dark. Chandeliers add the glamour you may want for an upscale event. Sidewalls add privacy and wind protection, and they’re worth considering for shoulder-season events.

How far in advance should I book a tent rental in the GTA?
For summer weekends, we’d recommend booking at least 8 to 12 weeks ahead. June through September is peak season in the GTA, and popular tent sizes book up quickly. For fall, winter, or weekday events, you typically have more flexibility. That said, the earlier you confirm, the better your chances of getting exactly what you want.
What’s the difference between a frame tent and a pole tent?
Frame tents use an aluminum frame structure with no center poles. That means you get open, unobstructed interior space and the ability to set up on any surface, including concrete or asphalt. Pole tents use one or more tall center poles to create a high-peak, classic peaked look. They need to be staked. Pole tents are the go-to for weddings and formal outdoor events.
Can a tent be set up on concrete or a driveway?
Frame tents can be anchored with weights instead of stakes, making them suitable for concrete, asphalt, or packed gravel. If there is grass around your driveway sometimes we are able to stake in the grass or otherwise we will use weights. Just let us know your surface when you request a quote and we’ll match the right tent to your setup.
How long is a standard tent rental period?
Most of our rentals are priced for a single event, typically including delivery and setup the day before your event and pickup the following business day. Multi-day rentals can be arranged for longer events or festival setups. We’ll discuss the timeline as part of your quote.
What happens if it rains during my event?
Tents are built to protect from rain. That’s part of why you’re renting one. They are however temporary structures. Frame and pole tents are weather-rated structures. Adding sidewalls provides additional protection from wind and sideways rain. We’re happy to walk through weather contingency options during your consultation.
How big a tent do I need for 100 guests?
For 100 seated guests with standard round tables, you’re looking at roughly 1,000 to 1,200 square feet of tent coverage. That points you toward a 20×50 frame tent (1000 sqft) or a 30×45 pole tent (1,350 sqft) if you want room for a dance floor, buffet, or bar setup inside the tent.
